Agent Management System Operation Manual

1. Introduction

NihaoPay's Merchant Management System is designed for agents to manage their associated merchants. Agents can search for a merchant's transaction / settlement / withdrawal history, view its merchant account details and even submit new merchant registration application. After signing the ISO agreement, agents will receive log-in information from it's NihaoPay account manager. Use those information to log on to the system as shown.

Agent log-in

The merchant management system have two main functional tabs, Transaction and Settings. Click each area to expand its functionalities.

Functional tabs

New merchant can be added through Merchant Register in Settings. Once a merchant is successfully registered with NihaoPay, agent can start using the merchant management system to manage its merchants.

2.1 Clearing Transaction

Already cleared transactions can be search by its NihaoPay Transaction ID (appears as "Transaction ID"), Merchant ID, Start / End Time. Enter one or multiple search fields, then click on "Search" to search for transactions. All transaction returned in the search results will be already cleared transactions; therefore, transaction history on the day of search will not be included in search result (please refer to Real-time Transaction). Transaction clearing is a daily automated process. Transaction search results can be downloaded in .csv or .xls format by clicking "Download". csv format is supported by multiple accounting software including QuickBooks and NetSuite.

Sample transaction history

Each transaction detail is explained as follow:

  • Merchant ID: NihaoPay-assigned 10-digit merchant ID. Starts with a "M";
  • Merchant Name: name of the merchant;
  • Order Date (UTC): time of transaction in UTC (Universal Time Coordinated);
  • Transaction ID: 20-digit NihaoPay Transaction ID;
  • Transaction Type: there are 8 types of transaction (Purchase, Authorize, Authorized Capture, Authorized Release, Authorized Capture Cancellation, Refund Purchase, Refund Authorized Capture, Chargeback). For the detailed meaning of each transaction type, please refer to the following Q & A;
  • Currency: settlement currency of the transaction;
  • Amount: amount of original transaction;
  • Fee Rate (%): transaction rate (charged on merchant) in percentage;
  • Transaction Fee: Transaction Fee = Amount * Fee Rate;
  • Merchant Net Settlement Amount: Merchant Net Settlement Amount = Amount * (100% - Fee Rate%);
  • Agent Fee Rate (%): NihaoPay's buy rate for agents;
  • Commission: Commission = Amount * (Fee Rate% - Agent Fee Rate%).

2.2 Settlement Info

Agent can look up a merchant's settlement history in this section by Merchant ID and Start / End Time. Enter one or multiple search fields, then click on "Search" to search for settlement history.

Settlement history search result will include settlement details such as Clear Date, Currency and Agent Net Settlement Amount. Agent Net Settlement Amount.

  • Clear Date: settlement apply date;
  • Currency: settlement currency;
  • Agent Net Settlement Amount: agent commission(?)

2.3 Real-time Transaction

Search for real-time merchant transaction information in this section. Transactions can be searched by multiple criteria including Reference, Merchant ID, NihaoPay Transaction ID (appears as "Transaction ID"), Pay Method, Currency, Status, Start / End Time (can not exceed 30 days) and Transaction Type. Every transaction up to the time of search (including transaction on the day of search) will be included in the search result. However, fewer transaction details (Merchant ID, Time of Transaction, Reference, Transaction ID, Transaction Type, Transaction Currency, Transaction Amount and Status) will be shown as some of the transactions are not yet cleared.

2.4 Merchant Account Summary

View each merchant's account summary in this section. A merchant can be located by its Merchant ID and Account Currency.

Select applicable currency available to the merchant's account to view the account's detail. Details of a merchant's account include Account Balance, Frozen Amount and Pending Amount.

  • Account Balance: the merchant's account balance (specific to a one currency);
  • Frozen Amount: unsettled refund in the merchant account. Once settled, the amount in Frozen Amount will be deducted from merchant's Account Balance;
  • Pending Amount: funds that are still being processed and transferred by banks to merchant's Account Balance. NihaoPay operates on a T + 2 settlement schedule; therefore, funds from transaction will be included in a merchant's Account Balance 2 business days since the transaction.

2.4 Merchant Withdrawal List

View a merchant's withdrawal history in this section. A merchant's withdrawal history can be searched by Merchant ID, Start / End Time, Currency and Withdrawal Result. Details of withdrawal includes...

  • Initializing: NihaoPay has initialized the withdrawal request;
  • Dealing: bank associated with NihaoPay is processing the withdrawal request;
  • Completed: bank associated with NihaoPay has transferred the withdrawn funds to merchant's bank. Merchant will receive the fund in 1 ~ 2 business days depending on transfer type. For ACH payment, NihaoPay's bank will transfer the fund at 8:30 am PST each day; for international wire transfer, NihaoPay's bank will transfer the fund at 1:00pm PST each day.

3. Settings

3.1 Merchant List

View the details of all managing merchants including Merchant ID, Merchant Name, Industry, Website, Contact Person, Cell Phone, Email and Status.

Click on "Details" to access all details (information submitted when the merchant was registered by agent) of the merchant. A merchant can be searched by its Merchant Name and Merchant ID. There are three types of merchant status, each of which is explained as follow:

  • Initial: agent has initiated the merchant's registration process;
  • Wait Audit: the merchant's registration application was submitted to NihaoPay for review;
  • Rejected: the merchant's registration application did not meet NihaoPay's underwriting requirements / some merchant information is missing or needs to be corrected;
  • Deleted: merchant application is deleted by NihaoPay;
  • Active: merchant's NihaoPay production account is created.

3.2 Merchant Register

Agents may submit new merchant application in Merchant Register. Each section is explained as follow:

Business information

Business information:

  • Merchant Name (Doing Business As): the name of a company that is known to the public;
  • Merchant Legal Name: merchant's legally registered name;
  • PSP: does not require any input;
  • Country: country the merchant is registered in;
  • State: state / province of the merchant's country where the merchant is located;
  • City: city the merchant is located;
  • Physical Street Address: street address of the merchant;
  • Mailing Address: merchant mailing address. Only needs input when different with merchant's physical address;
  • Contact Name: merchant's contact name;
  • Email: primary contact email of the merchant;
  • Website: merchant's website. If the merchant only requires offline payment solutions, use the agent's website instead.

Merchant Profile:

  • Type of Ownership: the type of ownership of merchant's business entity. Agents may select from Corporation, Partnership, Sole Proprietorship, Professional Association, Tax Exempt Organization, LLC and Others;
  • Federal Tax ID: merchant's Federal Tax ID. Only applicable to U.S. merchants. If the merchant is located outside of the United States, use merchant's government-issued Company / Corporation ID;
  • Industry: type of industry the merchant's business belongs to. Please select from the drop-down list. If not found, please select "Other";
  • MCC: Merchant Category Code.

Bank Information:

Bank information

  • Bank Name: name of merchant's settlement bank;
  • Account number /IBAN: the bank account number, usually can be located on a check adjacent to the account's routing number. Format of account number may differ for banks in different countries / International Bank Account Number, used in multiple countries including Germany, Israel and Spain. Consists of an alphabetical country code followed by 2 digits, then up to 35 characters;
  • Routing Number: the routing number (9 digits) identifies the location where the account was opened. It is usually the first set of numbers printed on the bottom of a check;
  • ABA: equivalent to Bank Routing Number in the United States;
  • BSB: Bank-State-Branch, a 6-digit number that identifies banks and branches within Australia;
  • Sort code: used in British and Irish banking systems, usually a 6-digit number. It identifies both the bank and branch where the account is held;
  • Swift code: an 8- or 11- digit number that identifies country, city, bank, and (11-digit only) branch. Used in multiple countries;
  • Country: country of merchant's settlement bank;
  • State: state / province of merchant's settlement bank;
  • City: city of merchant's settlement bank;
  • Bank Address: street address of merchant's settlement bank;
  • Zip Code: zip code of merchant's settlement bank.

Agent may choose the payment channels (UnionPay, AliPay, WeChatPay and EasyPay) and payment scenarios (online / offline) the merchant requires. Agent will also be required to provide its merchant Transaction Fee Rate. Fee Rate% = Transaction Fee Rate% + Agent Commission Rate%.

Settlement:

Settlement

Agent may select the merchant's Settlement Currency (currently, NihaoPay supports 6 settlement currencies: USD, JPY, HKD, EUR, GBP and CAD) and Settlement Cycle. There is no limit on type or amount of settlement currencies; an agent can select as many or as few settlement currencies as it wants for the merchant. The maximum number of manual withdrawal request is one per day. There is no upper limit of withdrawal by amount; however, an account will be withdrawable only if its balance is $1 greater than the withdrawal processing fee. Please note that a settlement fee will be charged for every merchant settlement ($0.30 per settlement to U.S. bank account, and $25 per settlement to bank located outside of the U.S.).

When an automated Settlement Cycle is chosen:

  • Daily: withdrawal will happen daily;
  • Twice a Week: withdraw will be issued on every Tuesday and Thursday;
  • Weekly: withdraw will be issued on every Tuesday;
  • Twice a month: withdraw will be issued on every 2nd and 15th of a month;
  • Monthly: withdraw will be issued on the 15th of every month.

Merchant Onboard will redirect user to NihaoPay's newer version of agent-managed merchant online application.

Q & A

1. What are the 8 transaction types that appear in NihaoPay's Online Merchant Management System?

The 8 types of transactions are Purchase, Authorize, Authorized Capture, Authorized Release, Authorized Capture Cancellation, Refund Purchase, Refund Authorized Capture and Chargeback, each of which is explained in detail as follow:

  • "Purchase": the obtaining of ownership of a service or good in exchange for money or value;
  • "Authorize": the holding of a certain amount of fund on a debit or credit card. For UnionPay cards, authorization will be canceled if it is not captured within 30 days.
  • "Authorized Capture": the capturing of a pre-authorized fund on a debit or credit card after a transaction is confirmed. Please note the final captured amount may differ from authorized amount but will typically be no more than 115% of the authorized amount;
  • "Authorized Release": the release of an card authorization (in case no transaction is confirmed);
  • "Authorized Capture Cancellation": the canceling of an authorized capture;
  • "Refund Purchase": compensation paid to a customer for over-invoicing or for returned goods;
  • "Refund Authorized Capture": the refunding of a fund that is captured through pre-authorization;
  • "Chargeback": the withdrawal by a credit card issuer of the amount credited to the merchant's account when card-holder disputes a transaction charged on his or her credit card for reasons including:
    1. Didn't receive the item;
    2. Received a damaged or defective item;
    3. Don't recognize a credit card charge;
    4. Were charged more than once for something;
    5. Didn't authorize the payment.
